Administrative Assistant (Clerk's)
Partially Exempt 18.75 hours per week $24.18 - $25.00 Hourly (DOQ)

WHO WE ARE LOOKING FOR
We are a small but very busy office and are looking for a dependable person who can assist with a variety of administrative duties that include supporting the work of the Assembly and its boards and commissions, answering phones and office support, conducting the local municipal elections, records management, tracking the Clerk and Assembly budgets and other related administrative duties and projects. With such a small team, it is imperative that the individual in this position is a self-starter, has initiative and good time-management skills and can juggle a wide variety of competing projects.
WHAT IS IT LIKE TO WORK ON OUR TEAM
The moto of the Clerk’s office is “Public service to ALL, in all we do!” The Clerk’s staff consists of the Municipal Clerk, two Deputy Clerks, this Administrative Assistant position and some Election staff. The Clerk’s division works closely with all other departments on city-wide issues and this position provides a great opportunity to learn about CBJ as an organization and the world of governance and elections in particular. It offers valuable City & Borough of Juneau administrative experience and training opportunities that can be applied to future positions within CBJ and elsewhere.
WORKING HOURS AND LOCATION
We are looking for an individual who can work mornings, Monday- Friday, much of the work being performed will be project based so other hours can vary depending on the candidate’s schedule. Your primary office would be located in downtown Juneau in City Hall but may also be called upon to work in the field for election work.
Job Responsibilities
TYPICAL DUTIES AND RESPONSIBILITIES:
- Serves as the initial public contact for the Municipal Clerk’s Office during the hours in the office.
- Fulfills information requests and directs visitors and callers to the appropriate department for assistance.
- Maintains courtesy and the professional image of the office and handles difficult individuals or situations tactfully and discretely.
- Maintains the on-line CBJ meeting calendar, scheduling of meeting rooms and electronic services while ensuring compliance with the Open Meetings Act and issuance of public meeting notices through a variety of methods including newspaper advertisements and electronic publications.
- Publishes updates to the Assembly and Clerk webpages and social media outlets including public service announcements, adopted legislation, agendas, minutes, packets, and other municipal records,
- May be tasked with providing technical or staffing support to the Assembly or its committees including preparing draft minutes for Assembly or committee approval.
- Provides election assistance including registering voters and supporting the Clerk in a variety of election related tasks.
- Tracks and manages Requests for Public Records and performs other records management duties.
- May serve as a Notary Public to provide notary services to staff and the public.
Minimum Qualifications
DO I HAVE THE QUALIFICATIONS FOR THIS JOB – OUR DESIRED QUALIFICATIONS
Education: High School graduation or the equivalent.
Experience: Six (6) months of clerical experience. This work is equivalent to an Office Assistant with the City & Borough of Juneau or equivalent elsewhere.
SUBSTITUTION:
Post-secondary or vocational training may be substituted for the required experience on the basis of: three (3) semester or four (4) quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)
Other: Must possess a valid Drivers’ license at time of appointment and for continued employment.
Must become a registered voter of the City and Borough of Juneau within 30 days of appointment.
Due to the nature of Elections work, must not have been convicted of a felony involving moral turpitude, or having been so convicted, have been unconditionally discharged from incarceration, probation and/or parole.
