Administrative Assistant I (Community Development)

Full Time 37.5 hours per week $20.12-$21.47 Hourly (DOQ)

WHO WE ARE LOOKING FOR

The Community Development Department is looking for a team member who enjoys and takes pride in accuracy and attention to detail and who has excellent customer service abilities. This position works closely with and follows the lead of the Administrative Assistant II position and interacts on a daily basis with staff in the Permitting, Planning, and Building sections of CDD. An ability to “go with the flow” is important, as this position does get frequent interruptions. In addition, this position has a shared responsibility for opening the CDD office each morning, so reliability is a must. If you are someone who likes being in the heart of the day-to-day workings of an office, having a variety of tasks, and being responsible for the critical functions associated with document production, control, and maintenance, we would love to have you!

Your skill set ideally includes:

  • Working knowledge of Microsoft Word, Excel, Adobe Pro, Publisher, PowerPoint, Outlook, and Govern database.
  • Experience editing for grammatical, typographical, and formatting errors.
  • Customer service experience in an office environment.

WHAT IS IT LIKE TO WORK IN OUR DEPARTMENT

CDD is a dynamic department composed of Permitting, Planning, Building, and Administrative sections that together are responsible for administering the land use ordinances and building code regulations for the City and Borough of Juneau. WORKING HOURS AND LOCATION

This position works (Monday through Friday) 8am – 4:30pm. Your office would be located in downtown Juneau in the Marine View Building, 230 S. Franklin.

 

Job Responsibilities

DESCRIPTION OF WHAT YOU WILL BE DOING

The Administrative Assistant I position works within the Community Development Department (CDD) under the direction of the Administrative Officer and is an integral member of our close-working Administrative and Permit sections team. Critical duties for this position include:

  • Document preparation and management including typing, editing, formatting, printing, filing, and overall maintenance of documents for legal record.
  • Providing customer service in-person and over the phone for Permitting, Planning, and Building related inquiries.
  • Data entry into spreadsheets and the Govern database for land use cases, enforcement cases, and public hearing schedules.
  • Creating public notices, ensuring timely mailings, and preparing and distributing meeting packets.
  • Maintaining meeting calendars, creating agendas, and updating and creating CDD website material.

Minimum Qualifications

DO I HAVE THE QUALIFICATIONS FOR THIS JOB – OUR MINIMUM QUALIFICATIONS

Education:           High School graduation or the equivalent.

Experience:         Twelve (12) months of clerical work experience.

Other:                   A valid Driver's license is desired.

SUBSTITUTION:   Post-Secondary or business college training may be substituted for the required experience on the basis of 2.5 semester hours (3.75 quarter hours) for one (1) month of experience up to a maximum of six (6) months.
